We are seeking a full-time Administrative Coordinator to work closely with our Manager of Sustainable Operations in supporting our whole team to coordinate events, meetings, and trainings and manage organizational and program data.

Key Responsibilities

Meeting / Event Coordination

Act as the key coordination and logistics lead for SJP convenings, including: 

  • Manage in-person event production when safe to return to in-person convenings, including securing and coordinating with venues, being the primary vendor contact, leading set up & pack down with the support of the team, coordinating catering and other necessary workshop supplies.

  • Managing virtual event production leading pre- to post-production including: setting up events in Zoom, managing RSVPs, acting as main tech host on Zoom to ensure all aspects of virtual event are running seamlessly (screen sharing, recording, spotlighting breakout rooms, waiting rooms etc.), downloading or editing video recordings if needed.

  • Healing Justice project management to manage the production of healing justice workshops and trainings, to include scheduling and managing RSVPs, emailing attendees, creating Zoom registrations, and coordinate contracts and payments with guest facilitators.

  • Support the execution of annual Fast Pitch event which is attended by 400-700 audience members at a virtual or physical event. Coordinate the SJPLA staff team members to support event execution. Liaise with vendors/professional services, support Communications Manager with event marketing, support Executive Director on sponsor/donor tracking, manage ticketing, and ensure the smooth execution of the event.

  • Coordinate internal staff meetings including calendaring, securing locations (when in-person), setting up Zoom invites, and coordinating staff facilitators for each meeting.

Data & Administration

Act as the data and administration lead for all SJPLA initiatives and programs, including: 

  • Maintain program events & convenings calendar ensuring it is up-to-date and that all logistical details are planned for in advance. Support the Communications Manager in gathering relevant program schedules and content.

  • Support the operations team to manage contracts, MOUs, and invoicing when applicable for program participants and facilitators.

  • Maintain detailed, up-to-date records for reporting purposes and support the development of reports, surveys, and other program materials.

  • Develop and maintain a Wellbeing/Healing Justice Workshops and Trends resources list.

Our Ideal Candidate

  • Is committed to racial and social justice.

  • Has a knack for coordinating and synthesizing moving parts and keeping things running according to a project plan. 

  • Proactively seeks out information they need, asks questions when they are stuck or unclear, and fully owns moving their pieces forward. 

  • Loves executing on a team’s vision, is excited about making the details happen, and understands the importance of the behind the scenes logistics work.

  • Is known for their Zoom meeting and event production skills, ideally very comfortable and experienced in Zoom event production including managing breakouts, spotlighting, meeting vs webinar functionalities, recording, and use of third party apps/widgets to enhance virtual convenings 

  • Loves data and details! Loves to organize information, create and coordinate processes that are user-friendly for the team, and generates reports to help us understand metrics across different programs.

  • Is ready to step into an environment of self-accountability and is excited to work within a team that is committed to the joy and responsibility of co-creating a liberatory team culture.

  • Has at least 3 years nonprofit administrative or program support experience.

  • Has proficiency in online tools/databases, including: Google Suite, Zoom, and Microsoft Office

COMPENSATION & BENEFITS

This is a full-time, exempt position. The position will pay $65,000 per year, plus 100% of employee costs of medical, dental, vision, and long-term disability insurance. We also offer a staff support stipend for professional development and/or personal wellbeing. As an organization, SJPLA takes six weeks of “quiet time” each year (three weeks in the summer, three at year end), to give the team time and space for internal reflection, planning, and rest from external activities. While the position will be largely remote (with some in-person events or meetings), we’d like a candidate who lives in Los Angeles County as we plan for future in-person events.
